Subject: Request for Quotation (RFQ) to procure different/multiple items for different project.
Projahnmo Research Foundation (PRF) invites quotations from respective qualified vendors to procure Staff Logistic, medical item and computer equipment. The details are as follows:

Terms and Conditions
1. Potential bidders must possess valid legal documents, including Trade License, BIN, TIN, and Proof of Submission of Return (PSR), and must be recognized suppliers of medical equipment.
2. Bidders should apply based on their relevant business nature and proven related experience.
3. Bidders may submit quotations for one or multiple tables. Evaluation may be conducted either item-wise or package-wise.
4. One (01) bag and one (01) umbrella must be submitted as samples along with the quotation. PRF will return all submitted samples to the respective bidders upon completion of the procurement process.
5. The quantities mentioned are tentative and may increase or decrease based on project requirements.
6. Products under Table-01 must be delivered to PRF Banani Office / Sylhet Office within 10 days of receiving the formal Work Order.
7. Products under Table-02 and Table-03 must be delivered to the PRF Banani Office within 03–05 days of receiving the formal Work Order.
8. All applicable warranty and service commitments must be clearly mentioned in the quotation. Vendors shall ensure after-sales service support throughout the warranty period.
9. All supplied products must be genuine, unused, and original. Refurbished, duplicate, or previously used products will not be accepted.
10. Vendors must clearly mention the manufacturer's name, country of origin, and model number in the quotation.
11. Any defective or damaged item identified during inspection or within the warranty period must be replaced by the supplier at their own cost.
12. Vendors must obtain signed Delivery Challan and Goods Receipt Note (GRN) from the receiving authority after successful delivery and installation.
13. One hundred percent (100%) payment will be made after successful delivery and submission of all required documents, including invoice, delivery challan, and GRN. Applicable VAT and tax will be deducted at source as per government rules.
14. Vendors must have proven experience in similar supplies. Two to three (2–3) supporting documents should be submitted as evidence.
15. Failure to deliver within the committed timeline may result in cancellation of the Work Order or other administrative actions by PRF.
16. PRF will evaluate quotations based on compliance with specifications, price competitiveness, delivery timeline, warranty/service support, vendor experience, and organizational requirements.
17. Vendors must comply with PRF's Code of Conduct and Safeguarding Policy throughout the contract period.
18. PRF reserves the right to accept or reject any or all quotations (fully or partially) without assigning any reason and may select one or multiple vendors.
Interested vendors are requested to submit their signed quotations including the following information:
- Unit price and total price (Quoted prices must be inclusive of taxes. VAT may be shown separately before grand total)
- Price validity
- Delivery timeline
- Warranty details
- Company profile
- Trade license, TIN, BIN certificates
- Bank account details
Bidder Non-Collusion Statement
PRF strictly prohibits collusion and will disqualify all bids where collusion is detected. Collusion happens when related parties submit separate bids for the same tender. Collusion includes situations where:
- a) Members of the same family submit separate bids for the same tender
- b) Separate companies owned by the same person submit separate bids for the same tender
- c) Employees of a bidding company submitting separate bids through companies they own for the same tender
- d) Partners in a bidder submitting separate bids under their own names/companies they own for the same tender
It is a collusion for a person to be involved in more than one company/business submitting a bid to the same tender. Collusion will lead to PRF disqualifying the involved individuals or companies from that tender as well as disqualify them from submitting bids for future tenders. In addition, PRF may share information relating to this collusion with other international aid organizations operating in the region, leading to loss of business opportunities for the colluders.
